MonteurFlow (app.monteurflow.com and monteurflow.com) is a service by L Chain, Chamber of Commerce no. 42147983, VAT ID NL005534754B85 ("we", "MonteurFlow"). This policy explains which personal data we process, why, and what rights you have.
Who does this policy apply to?
- MonteurFlow users — technicians/installers who hold an account.
- Users' customers — the end customers whose data ends up in job sheets, quotes and invoices. For this group we process data on behalf of the user (see our Data Processing Agreement) — the user is responsible for informing their own customers.
What data do we process?
From users (account holders)
- Email address (for logging in via a one-time code)
- Company details: company name, address, Chamber of Commerce number, VAT ID, IBAN
- Settings: VAT rates, reminder preferences, calendar integration
From users' customers (via job sheets/quotes/invoices)
- Name, address, phone number, email address
- Content of completed work and digital signature on the job sheet
- Payment data processed via Mollie (we do not store card details ourselves)
Automatically collected
Technical data required to keep the application running (server logs), not used for tracking or profiling.
What do we use this data for?
- Providing the MonteurFlow application: job sheets, quotes, invoices, calendar, team access.
- Sending emails: login codes, invoices, quotes, payment and appointment reminders.
- Processing payments via Mollie (iDEAL).
- Optionally syncing with the user's accounting via Moneybird.
We do not use data for marketing, advertising, profiling or resale to third parties.
Legal basis
- Performance of a contract: use of MonteurFlow by the account holder.
- Legitimate interest / processing on the user's behalf: processing data of the user's own customers, on the user's instruction (see the Data Processing Agreement).
- Legal obligation: statutory retention period for invoices (7 years).
Who do we share data with?
We engage the following parties as processors (sub-processors):

We do not sell data to third parties and do not share it beyond the purposes stated above.
Retention period
- Job sheets, quotes and invoices: for as long as the account is active, and afterwards for as long as the statutory retention period (7 years) requires for invoices.
- Upon account cancellation: data is deleted within 30 days on request, unless a statutory retention obligation prevents this.
Security
- Connection via HTTPS/TLS.
- Data access is scoped per company account (Row Level Security) — one company can never access another's data.
- Passwordless login via a one-time email code.
Your rights
You have the right to access, rectify, erase, restrict processing, data portability and object. Contact us at leroyvandijk97@gmail.com. If you are a customer of a MonteurFlow user (e.g. your technician), please first contact them — we process your data on their behalf.
You may also lodge a complaint with the Dutch Data Protection Authority.
